Choosing a business card in Germany: billing, liability and team cards

For freelancers and companies, legal form, payment method and clear expense records matter. Check these points before applying.

Quick answer: which business card do I need?

Choose by contract holder, payment method and workflow. A card for a self-employed person in their own name does not automatically suit a limited company or multiple employees. Check permitted legal forms, liability and the number of cards first. CardGuided helps you identify these questions; the provider decides on applications.

Distinguish credit, charge and debit

Debit charges the linked account. Charge cards generally have an agreed date for full settlement. Revolving credit cards can carry balances with interest. A payment period is useful only when you plan due dates and available funds together. The word “business” does not explain repayment.

Consider costs for the whole team

Compare the base fee, additional cards, cash, foreign currencies and any software costs. Illustration only: a €60 base fee plus three additional cards at €24 each totals €132 a year before usage fees. For team cards, also check individual limits, approvals and prompt cancellation when employees leave.

Clarify receipts, linked accounts and liability

Check whether receipts can be exported and your accounting software is supported. Establish which settlement account is required and who signs the contract. Personal liability, guarantees and credit requirements follow the actual terms. A separate card helps organise expenses but does not replace tax review.

Check travel use and insurance terms

Car-rental location requirements still apply. For insurance, check insured persons, business travel, card-payment requirements, deductibles and exclusions. An advertised travel package does not establish that every business trip is covered. List open questions and ask the provider before signing.

Frequently asked questions

Do I need a business account as a freelancer?

For sole traders and freelancers it is not always legally required, but many banks prohibit business use of personal accounts. Separation simplifies bookkeeping. A GmbH or UG needs its own account as a separate legal entity.

What is the difference between a business and a corporate credit card?

The terms are often used interchangeably. The details matter: who is liable, the company or the cardholder? Is it settled from the business account? Are there employee cards with individual limits?

What should I check with employee cards?

Cost per additional card, individual spending limits, blocking via app, receipt capture and accounting integration. Also clarify who is liable for misuse.

Are there business cards without a credit check?

With business debit cards a credit check is often not needed because payments come directly from the business account. For credit cards with a credit limit, providers check the company’s and often the owner’s creditworthiness.
